How to avoid phishing spam
Phishing is a form of cyber attack in which scammers pretend to be a legitimate business entity in order to steal your personal information. These scams often come in the form of emails, although they could also come from phone calls or text messages. The goal of these scams is to trick unsuspecting users into providing their private login credentials or banking details. In this blog article, we will show you how to identify and avoid phishing scams.

What do phishing scams look like?

Phishing emails usually come as alert notices. These alerts tell you something is wrong with your email or banking account, such as your email box is full and must be cleared, or your credit card is frozen and must be unlocked. They will format the emails to look convincing in order to trick you into clicking on the login link and inputting your real login credentials. But what really happens in the background is they are simply stealing your login and payment details.

Here is an example of a real phishing scam we’ve received. It uses our company logo and name in the email, this email may look legitimate to average users:

This may seem like a legitimate email notifying you of your email storage being full. The URL link even looks real. But if you mouse over the URL without clicking on it, you will see the actual embedded URL goes to a completely different website run by the scammers. They will ask you to login, and if you logged in, you would’ve given them your private login information to your email account.

Once your email account is compromised, scammers will use your email account to send out mass spam so they can scam others. It’s a cycle that never ends. They will also steal any personal data you may have stored in your email account.

Here is another example, this one is harder to recognize:

The scammer copied every little details of a legitimate business email, including the footer and copyright notices. To unsuspecting eyes, this looks like a professional email from a legitimate company. But upon mousing over the Update Access link, it shows the link goes to a malicious foreign website that ends with .mx domain extension. If you were to login to this malicious website, you would’ve given scammers access to your financial investment account.

Let’s take a look at one more example:

This scammer copied the cPanel logo, they know cPanel is a popular control panel platform. By using cPanel’s logo, they hope you would be tricked into giving them your cPanel login information. With cPanel access, scammers would gain full control of your website and email accounts.

How to protect yourself from phishing attacks

Be vigilant. Always ask yourself this question, “do I have an account with this company?” If the answer is no, then the email is likely a phishing scam, and you should delete it. If the answer is yesstrong>, instead of clicking on the link in the email, you should contact the company directly. Go to the company’s website and login through the proper channels, or call in if you are unsure. It never hurts to ask questions.

If you happen to have clicked on a link and entered your login information, and you notice something is off or suspicious, you should immediately change your passwords. We have a great article explaining how to create a strong password in 2021. Even if you are unsure, changing your password first and asking questions later is always a good option.

Be aware of random billing invoices you receive, as opening them could expose you to malware/virus. Be very careful when you receive domain renewal notices from companies you do not recognize. Scammers can steal your domain name, then put your domain up for ransom. Your domain name is your identity on the web, it is everything for your business. Never respond to or renew your domain through a 3rd party you do not recognize.

In conclusion

Generally financial institutions will not ask you for any personal information through emails, or lock your account if you do not update personal details within a short amount of time. If you want to verify your email account quota status, you can simply login to your WebMail directly from the company website. Before clicking on a link in an email, it is always a good idea to mouse over a link and look at where the link goes to. If the link address looks unfamiliar, discard the email immediately.

Urgent mail server update related to the issue with Thunderbird 78.0

Currently there is a problem on DI email service, and some users who installed the latest version of Thunderbird (78.0 or above) cannot receive new emails. We apologize for the inconvenience this may have caused.

We figured out that Thunderbird client was asking IMAP for Quota limit on a specific mailbox, but we only support quota limit for full domain. We fixed it and will be updating the mail module shorlty.

10 Dos and Don’ts for your Company Newsletter

We discussed the ease in which you can create a newsletter using NewsMail templates in our last blog post, but why do you need to send a newsletter in the first place?

Newsletters are a critical line of communication with your existing or potential customer base. You want to maintain that relationship with your customers and feed them new information about your company as it comes in. Let’s look at some Dos and Don’ts for your company newsletter:

1) Do make a schedule. Decide whether to send your newsletter weekly, monthly or quarterly depending on your company goals.

2) Don’t send a newsletter every week simply because you want to get in front of people more often. If you’re not telling them anything new and important, expect a lot of ‘unsubscribes’ to follow.

3) Do share: promotions, company news, new products or services, holiday greetings, customer surveys and feedback, instructional content or videos (how-tos), customer testimonials, cause marketing efforts (community giving), employee spotlights and more.

4) Don’t share all of those things in one email! Spread it out. Keep the content to a minimum, featuring just two to three things, so as not to overwhelm the reader.

5) Do provide your contact information: phone, email, web forms and social media sites.

6) Don’t send your newsletter without having a fresh set of eyes review it for content or grammatical errors.

7) Do cross-promote your blog and social media sites. Informative blog articles can boost your website’s SEO, and as a bonus, they make for great newsletter content. Once you’ve sent out your newsletter, you can deconstruct the newsletter, using its content for social media posts, expanding your reach to existing and potential customers. See how they all work together?

8) Don’t be shy about testing out different subject lines. See what works and what doesn’t to get a better open rate. Same goes for when to send – do people tend to open your newsletter more when you send in the morning versus the afternoon; early in the week or later in the week?

9) Do look at the analytics to see what people are clicking on to get an idea of what topics your customers find interesting.

How to Send a Newsletter with NewsMail

It couldn’t be easier to create a professional newsletter, create email marketing campaigns, broadcast, and track emails using NewsMail. Create unlimited mailing lists to target the exact audience you want to reach. Get detailed reports and statistics for monitoring your email campaigns’ effectiveness. And choose from HTML, text, or professionally-designed themes to get you started!

1. Once you’re logged into NewsMail, click on the “Mail Admin” tab and choose “Compose Mail.”

2. On the next screen chose between three email formats. We recommend “Theme Email.”

3. After choosing “Theme Email” you’ll have the option to choose between 6 different categories.

4. Click on one of the templates from the list and then click “Select Theme.”

5. Now, choose a mailing list from your lists.

6. At the bottom, fill in the mailing information including your reply to email and subject line. This is also where you can add attachments. Click Next.

7. From here, you will be able to customize your newsletter with text and images. Use the edit buttons under each section to add text, rearrange sections, and add sections.

8. Once you’re happy with your newsletter, click broadcast in the top-right corner. You can either send it immediately or you can schedule your newsletter for a future date. You will also have the ability to save your newsletter before sending.

Congratulations, you’ve just sent your first newsletter! Remember to log back into your NewsMail account and check the logs for open rates and click through rates.

How to Backup Emails in Mozilla Thunderbird

First, you’ll need to add on the Import and Export mail feature to Thunderbird.

1. Open your Thunderbird desktop app.
2. Click the drop-down menu in the top-right corner.
3. Find and select the “Add-ons” button from the right menu.
4. Click “Get Add-ons.”
5. In the search bar, type in “ImportExportTools.”
6. Add the “ImportExportTools” to Thunderbird.
7. When prompted, click the Install Now button
8. From the upper-right corner, select the “Restart Now” button.

Now, we can export your emails.

1. Open your Thunderbird desktop app and select the email folder you want to back up.
2. Right-click on the folder and select “ImportExportTools.”
3. Select Export all messages in the folder from the drop down menu.
4. Select a file type to save your emails. We suggest EML format or HTML.
5. Select a folder to save your emails to.

How to Backup Emails in Outlook

Follow these steps for backing up emails in Outlook for Office 365, Outlook 2019, Outlook 2016, and Outlook 2013:

Backup to a folder on your computer:

1. Go to File in the tool bar > Open & Export > Import / Export
2. Choose “Export to a file” from the list of actions. Then click next.
3. Select “Outlook Data File .pst from the list of file types.
4. Choose the mail folder that you want to back up.
5. Click browse and choose a destination folder you want to back up your emails to.
6. Select Finish.

Backup emails to external hard drive:

1. Follow the steps above 1-6.
2. Plug in your external hard drive to your computer.
3. Locate the file you backed up your emails to.
4. Drag and drop the file into your external hard drive.
