We have not seen any email delay for a week now. We were able to reduce CPU usage by 70% by tuning up software thus making mail processing faster. The graph above shows the CPU usage for 24 hours (4/18 3:36 pm – 4/19 3:33 pm).

Legend: Red line: number of access user
Black line: Database CPU usage
Green line: IMAP/POP Mail Server CPU Usage
Pink line: Machine CPU Usage

You can see the server is running much more stable when it comes to CPU usage. We are still working to make processes even faster.

We have deployed a new module for email server software at 2:30am. This module streamline the database access processes to require less CPU time. This graph above shows the CPU usage before and after the deployment. It seems we are able to mitigate the CPU usage problem by fine-tuning the database access module.

red = number of concurrent users
black = database CPU usage
green = email server CPU usage
pink = machine CPU usage

Even with this improvement, we are continuing to farther improving our mail service. We do not see any email delay this morning. We will let you know as soon as we see any problem. Thank you for supporting PSPINC.

Email Delay

Toward the end of last week, we were experiencing some email delays in our system. This was caused by two main reasons. The first is that we have moved all clients to the new mail servers, causing the new server load to peak higher than we had expected. The other is that, in order to process more email, we modified the email preprocessing system which handles SPAM filtering, email forwarding, auto reply, and mailing lists to be faster, thus delivering more email than the email servers could handle.

From last Friday, we have been rewriting our software to improve mail processing performance. Because of the changes we made, we have not seen any delays since last weekend. We have been working to make our email servers process more email all this week as well, and we estimate that over the past week our email servers have become three times faster. Although we should have done this earlier, I am happy to announce that we no longer detecting any email slowdowns.

We were able to solve the email delay problem by rewriting the software itself. That is something other hosting companies, who do not have an in-house software development team like ours, cannot do. We are constantly making our software faster, more efficient, and more reliable. If you have any questions or concerns about our email hosting, please feel free to contact us.

MacMail does not seem to handle SSL connection very well. So, if you are having problem communication with email server using MacMail, you might want to turn off (uncheck) SSL connection.

This picture shows the SSL connection being checked. To get to this screen, select Mail Menu Preference --- Select Account --- Advanced Tab

This SSL connection issue is specific to MacMail software. There is no connection issue that we know about iPhone or iPad Mail software.

Switch from POP3 to IMAP

As you know, we have upgraded your email server system from POP3 to IMAP/POP3. Using IMAP allows you to sync email between your PC and any mobile devices, like a tablet or smartphone.

If you have decided to move from POP3 to IMAP, great! However, please read these instructions before making the changeover, or else you may inadvertently lose all of your email, like I just did (fortunately I had everything backed up).

First, to recap, the difference between POP3 and IMAP is that you store your all your email on your PC with POP3, and on a server with IMAP. When you switch from POP3 to IMAP, all your new email will stay on the server, but do not forget that all your old emails are still on your PC. This is what I did. Once I had set up IMAP on my PC and made sure it worked, I deleted my POP3 setup on my mail software, which also deleted all the email stored on my PC.

That is what you should not do when you switch to IMAP.

The first step to properly switching to IMAP is to take your POP3 email client software offline, meaning it will not send or receive any email. Once your email software is offline, create a backup of your email. Once this is done, instead of the modifying current POP3 setup to IMAP (which many email clients will not let you do anyway), create a new account within your email client for IMAP. Send or receive an email to make sure IMAP is working.

When that is complete, you should have both POP3 (now offline) and IMAP (now working) set up on your email client. That is how the system should work while you are transitioning your email from POP3 to IMAP.

You can then start copying emails from your PC to the IMAP server by creating folders for the IMAP account, and dragging and dropping email from your PC to the server. When all your emails are moved or copied to the IMAP server and you confirm that they are there, you can delete the POP3 account from your email software.

Remember, IMAP takes a lot of disk space on the server, so make sure you have enough for all your email. If you do not have enough space on the server, you will need to add more space by asking your provider, in this case PSP Inc.

IMAP is a wonderful system for people who have more than one device they use to access email, but to take advantage of it, you need to transfer your email safely. If you need assistance transferring from POP3 to IMAP, PSP Inc. support is happy to work with you.
